Job Summary
Reporting directly to the President of Interstate Glass, the Executive Assistant is responsible for providing administrative services to the President, as well as supporting the Vice President and Employees. This position serves as the first point of contact to customers and vendor representatives. This position requires exceptional communication, organization and customer service skills in a fast-paced environment.
Job Responsibilities
- Answer and triage incoming phone calls
- Greet all visitors and provide customer service
- Respond to all messages (e-mails, voicemails, and faxes) within 24 hours.
- File paperwork in proper places
- Input and submit payroll hours and retirement contributions
- Schedule appointments
- Enter customer information into Quickbooks
- Create estimates and invoices using Quickbooks
- Scan in Documents and save customer documents / images in Quickbooks
- Update work and personal calendars as needed
- Check bins above desk for any workflow that needs to be completed
- Contact customers when their in-house orders are ready for pick-up
- Take payments from customers and leave for the bookkeeper to process
- Check supplies and inventory weekly to let management know when items are needed
- Maintain the company website through GoDaddy.com
- Monitor and update social media including Yelp, Google, Facebook, Instagram, Twitter, Pinterest
- Schedule and coordinate travel accommodations
Required Skills & Qualifications
- Associates Degree
- At least 5 years of customer service and administrative experience
- Ability to work independently and also work well as a team
- Exceptional organizational, oral, and written communication skills
- High working knowledge of computers and computer programs such as Microsoft Office (Word, Excel, Outlook, OneNote, Teams), Adobe, and Quickbooks
- Experience with website design
Preferred Skills & Qualifications
- Bachelor’s Degree
- Website Design experience including Java Script / HTML coding
- Executive level administrative experience
- Knowledge of glass or experience in a construction field
